JOB OVERVIEW

To advance the mission of the company, this position will provide administrative and clerical support to the President/CEO, within the limits of standard or accepted practice. Understand, prioritize, and advance the goals of the President/CEO in alignment with the company’s mission and vision and the strategic initiatives.

 

MAJOR RESPONSIBILITIES 

  • Facilitate outstanding communication between the President/CEO, the broader Team, the Leadership Team, external clients, partners, and vendors.
  • Coordinate complex logistics and high-level projects on the President’s behalf with competency, efficiency, professionalism, and discretion.

 

FOCUSED RESPONSIBILITIES

  • Maintain the President’s calendar. Schedule meetings, invite attendees or respond regarding President’s attendance, and organize location & transport.
  • Read and answer emails directed to this position.
  • Read, sort and act upon President’s incoming emails. Schedule meetings, answer questions, or provide other support as indicated.
  • Read, edit, and draft correspondence on the President’s behalf. Review copy and presentations for grammar, readability, CEO’s voice, and alignment to initiatives.
  • Administer travel for the President. Book air travel, car rentals, and hotel reservations. Facilitate reservations for one-off events as requested.
  • Facilitate arrangements for team meetings. Send agendas to member and reserve meeting room. Record minutes and maintain any official records if needed.
  • Facilitate the arrangements for Leadership Team meetings. Send agenda requests and arrange the agenda accordingly. Arrange for light catering. Record minutes of the meetings and transmit to the team with action items for each member if applicable.
  • Manage/coordinate high-level projects as directed by the President.
  • Assist in writing contracts at the request of the President.
  • Manage retrieving data and reporting at the request of the President.
  • Prepare expense reports for the President.
  • Each team member is expected to participate in the activities of the company including team events & lunches.
  • Perform or assist with any assignments as required or directed.
  • This position may require some lifting up to 25lbs.

 

QUALIFICATIONS

  • BA degree preferred
  • 5 years of experience in administrative support role
  • Excels at listening and responding professionally to a wide range of constituents
  • Quickly grasps instructions and is comfortable working independently
  • Able to assess competing priorities and quickly pivot to meet changing demands
  • Very comfortable learning and using new technological platforms

 

SALARY AND BENEFITS

  • Salary: $70,000 - $75,000
